Outdoor Events
Outdoor Site Bookings
U of A students, faculty and staff may book outdoor spaces on campus grounds for events like barbecues, beer gardens, student group events, charity fundraisers, and more. Please review the event types below to learn more about what you need before completing your outdoor campus space booking.
Note: Weddings are NOT permitted to take place on campus grounds. Book at the U of A Botanic Gardens.
Planned Events
- Students and registered student groups
All student and student group events must be submitted to the Office of the Dean of Students via BearsDen with a minimum of fifteen (15) full business days in advance of the event. To submit your event:- Login to BearsDen
- Go to your student group page (under your name in the top right-hand corner, then "Involvement")
- Click on Events in the menu bar at the top
- Click on the Create Event button* at the top of that page
- Fill out the form and submit it by clicking the green "submit" button at the end (Note: If you can't see the Create Event button, you may not have the right permissions within your group. Ask your group executive to add you as an officer with full events access. You may also not yet be registered. Talk to Student Group Services by emailing clubs@su.ualberta.ca)
- Photography and photoshoots
Members of the general public may use campus grounds for special occasion photography, such as engagement or wedding photos. All outdoor photo sessions must be booked in advance and include a $25 fee. Contact our Site Booking Coordinator at 780-492-2301 or osb@ualberta.ca.- Indoor photography can ONLY be booked in Convocation Hall.

Unplanned Events
Many activities take place each day on our campuses, especially in the Spring and Summer months. Please be aware that all applicable U of A policies and procedures apply to both planned and unplanned events, including: peaceful demonstrations, protests, or other large gatherings.
