Email notifications
You will receive important information regarding your registration in our welcome package one month in advance of your camp. Your camper's sign-in/sign-out QR code will be emailed one business day prior to the start of camp. Please check your spam folder to ensure you don't miss these emails. If you unsubscribe, we will be unable to send you any information.
Lunch & Snacks
Campers will need to bring their own lunches and snacks every day. Campers will not be able to purchase lunch or snacks on campus, and must bring food with them to eat during the day. In order to minimize the risk of allergic reactions we ask that campers refrain from bringing any products containing nuts in their lunch or snack. If your camper runs out of food and is still hungry, we are not able to provide food for them. In these instances DiscoverE staff may phone parents or guardians to provide additional food for their camper.
Sick campers
In order to ensure the health and safety of all campers and staff, we reserve the right to send sick campers home. Any camper displaying symptoms including headache, chills, cough, fever, loss of appetite, nausea, diarrhea, muscle aches and fatigue, runny nose, watery eyes and sore throat may be asked to leave camp. When symptoms are first observed, instructors will notify guardians and disclose our sick campers policy. If the camper continues to display symptoms of a contagious virus or symptoms worsen, we will phone the parent and ask them to remove the camper and withdraw them from camp for the remainder of the week. Fees go by session and are not subject to day-to-day refunds for missing days of camp; there are no refunds or credits if your child misses camp due to illness.
Our number one priority is to keep our campers safe. We will follow all U of A guidelines for campus safety. To see the current guidelines, check out the information for visitors website.
Inclusivity & Accommodations
At the Fred Otto DiscoverE program, we work hard to ensure that we can meet the needs of our campers. To ensure that we can support your camper, we ask that you contact us prior to camp about any exceptionality your camper may have or accommodations they require so we can create a safe and healthy environment. However, if we are unable to meet their specialized needs, we may not be able to provide them the necessary care they require. Please be advised that DiscoverE staff cannot to administer medication to campers or provide full-time 1:1 support. If your camper requires 1:1 support their professional aide or support worker is welcome to attend camp with them. If you have any questions or concerns, please contact us at 780-492-8779, or by email at discovere@ualberta.ca.
Refund policy
Please notify us of any cancellations at least one week before the start date of the camp week in which your child is registered. Refunds will only be granted on cancellation requests received 7 days prior to the first day of the registered camp. A 50% cancellation fee will be levied on all cancellation requests received between 1 and 6 days prior to the first day of the registered camp. Please note that there is no reimbursement for campers who cancel or withdraw during their scheduled camp week.
Incidents
In the event of an incident or emergency, our staff will follow a multi-step process for caring for your camper:
- In the case of minor incidents, instructors will document what happened, provide necessary care to the camper, and communicate the information to the guardian when they pick up their camper at the end of the day.
- In the case of medical emergencies, instructors will contact 911 and University of Alberta Protective Services.
- Instructors will then perform necessary first aid as required (all DiscoverE staff are certified in First Aid and CPR-C.)
- A staff member will call the camper’s guardian to inform them of the incident.
- A staff member will fill out an Incident Report. A copy of this report will be sent to the camper’s guardian.
- Staff will follow up and monitor the situation as necessary.
