Welcome to Camp
We have compiled a list of 10 things you should know for an enjoyable week of camp.

Pick Up and Drop Off Locations & Times
Your child’s day begins at the location and times noted below. Children will be dropped off at their camp’s QR Code sign in table. A parent/guardian must accompany the child to this table to sign them in. On the first day of camp, the sign in process can take a few minutes as we confirm registration and emergency contact information, please be patient with the process.
Pick up will occur from 4:15pm to 4:30pm (or 12:00pm to 12:15pm for half-day AM Tennis Camps). Each child must be signed out by the person indicated on their sign-in sheet, or by one authorized to do so at the time of registration with the personalized QR Code. If you would like your child to sign themselves out after camp, please print off the QR Code for your camper to present to the coach. If you indicated that your child would be able to sign themselves out at the time of registration, you will be asked to verify. Supervision will be provided until 4:45pm. After 4:30 pm coaches will begin to contact parents to confirm the pick-up details for their child if they are still at the camp.
Tennis Half DAY CAMPS
AM Tennis camps drop off times are 8:30am to 8:45am and pick up times are 12:00pm to 12:15pm
PM Tennis camps drop off times are 12:45pm to 1:00pm and pick up times are 4:15pm to 4:30pm

QR Codes - Personalized for Sign in and Sign out
Camp participants will begin their day at the Pick Up and Drop Off location associated with their camp location (see above). A parent or guardian must accompany camp participants to sign them in on the first day of camp. Drop off begins at 8:30am. All children need to be at the designated drop off area by 8:45am. On the first day of camp, please arrive early as there are a number of administrative steps to complete. (Tennis Half Day camps have different drop off/ pickup times).
Parents will receive a personalized QR Code for each camp participant, specific to that child and their registered camp from our sports@ualberta.ca account on each Thursday before camp starts. Parents will need to show this QR Code either on their phone in the email, saved as an image on their phone or printed.

Late Drop-off or Early Pick-up procedures
If you are late arriving at camp, proceed to the Drop Off location associated with the camp location (see above). If your child’s group has already departed for their first activity in a different location, camp staff at the location will make arrangements to have your child join their group. If you cannot locate a camp staff member, proceed to the nearest Customer Service Desk. If possible, please call us at 780-492-7171 and leave a message on the voicemail or email us at sports@ualberta.ca to let us know if your child will be late or absent.
If a family does not inform a staff member of an absence by 9:00am on the day the camper is absent, the Green & Gold Summer Camps Administrative team will follow up with the family.
If you know you will be late or early on a future day of camp due to scheduling conflicts, let your camp coaches know at drop off or pick up and they can let you know where camp will be on the day you are arriving early or late.

Parking
Parking permits for Green & Gold Summer Camps will be digital now using the University of Alberta parking services HONK app/ program.
Permits allow parents to park for 30 minutes during the following periods: 8:00am-9:00am, 11:30am-12:00pm, and 4:00pm-5:00pm. All cars that are picking up or dropping off participants must complete the HONK permit process. Park and ride is not permitted.
Families using parking lots outside of designated camp drop-off and pick-up times will be subject to and responsible for the regular parking rates.
Parking Permit Tips and Extra Information
- Please do not use the payment terminals/ parking stations or permanent QR codes around the parking area to process camp permits
- If you have questions or issues, please look for a camp coach on Monday morning close to the parking area. They are in Green Shirts or Hoodies with the camp's logo. You can also call Parking Services at 780-492-7275
- Permits only need to be redeemed once at the beginning of the week for each vehicle that may be used for drop off or pick up. If you have an error message while attempting to select parking permits, please contact parking service at 780-492-7275 and they should be able to help. If there are no rates available over the weekend, please wait until Monday morning.
Using the Honk App for Camp Permits
STEP 1: Use the camera on your phone to scan the CAMP SPECIFIC HONK APP QR CODE (Emailed or on this webpage). This will take you to the HONK website/app area for the CAMPS Zone permit.
STEP 2: Choose the Camp permit for the correct week, there could be up to three options. The rate is set to $2.15 and HONK adds $0.35 fee to add up to $2.50.
STEP 3: Add the car license plate. The whole process needs to be done for each separate car that may be picking up or dropping off campers.

STEP 4: In the promo box add the PROMO code that was emailed out in pre-camp email (the Thursday before camp starts) this will clear the balance owing.
STEP 5: If the correct PROMO code was entered, the balance will be cleared. Click the Park for Free button.
STEP 6: Permit Confirmation
Confirm the license plate of the car.
STEP 7: Permit Details, start and end.

Designated Parking Lots
South Campus (Saville Community Sports Centre): For participants in camps based out of the Saville Community Sports Centre, parents may park in the Saville Community Sports Centre parking lot ( Lot J) during the specified pick-up and drop-off times. Please ensure your vehicle parking permit has been completed with the HONK app and that week's promo code. Please pay attention to the parking signage regarding paid and reserved spaces.
North Campus Locations: For participants in Discover Aquatics, Climbing, Hockey, Sports Skills, and August Rec Mix camps at North campus, parents may park in the Stadium Car Park, Varsity, or Jubilee Surface Lot and proceed to VVC. Please ensure your vehicle parking permit has been completed with the HONK app and that week's promo code.
Lister Locations: For participants in soccer camps at Lister Field, parents may park in the R Lot, T Lot, or Jubilee Surface Lot and proceed to Lister Turf Field. Please ensure your vehicle parking permit has been completed with the HONK app and that week's promo code.

Forms
Important forms needed for the summer
- REQUIRED - Informed Consent Waiver Form (should have been completed during the registration process)
- REQUIRED - 2024 Camps Information Form (Emergency contacts, allergies, t-shirt size, etc, should have been completed during the registration process)
- REQUIRED - Visual Rights Consent Form (should have been completed during the registration process). Photographs may be taken at certain camps for promotional usage. Only those with approval will be photographed.
- OPTIONAL - EpiPen (consent for staff to help administer EpiPen if required, hard copies of this form will be available at Monday morning drop off if your child requires the use of an EpiPen)
FORMS MUST BE COMPLETED PRIOR TO CHILDREN PARTICIPATING IN CAMP ACTIVITIES. THESE FORMS NEED TO BE COMPLETED ONLINE. PARENTS WILL NOT BE ABLE TO COMPLETE THE FORMS DURING DROP-OFF ON THE FIRST DAY OF CAMP.
If you are unsure if your forms have been filled out, you can check your account on https://www.activityreg.ualberta.ca, and look for any outstanding forms in the forms section. You can also contact the Customer Service Centre in the Van Vliet Complex, activityreg@ualberta.ca or Green & Gold Summer Camp staff at sports@ualberta.ca to verify if your forms have been completed.

Lunch & Snack Information
We ask that lunches and snacks are nut-free to keep our camps safe for those potential camp participants with severe food allergies. Green & Gold Summer Camp Staff cannot guarantee that the environments will be nut-free. Parents, please make sure coaches are aware of any allergies your child may have at the start of camp.
The campers are very active during the day at camp, we encourage parents to over-pack snacks and lunches at the beginning of the week and then make adjustments during the week. This helps keep campers fueled and energized for their activities during the entire day.
There are no merchants available to make lunch and snack purchases during camp. The facilities we use do have some vending machines, however, we ask that you do not send money for kids to purchase from the machines during camp. We do not have the supervision in place to deal with potential issues with lost money, broken machines, stuck product, etc. If you have any questions please email sports@ualberta.ca.

What to bring?
Essential Items to have for each camp day
- QR Code for Sign in and Sign out, Digital or Printed. This will be sent out in a separate email from sports@ualberta.ca.
- Please treat your QR code like an Official Camp ID. This helps our coaches and staff keep our camps safe and secure. If you need to have someone else pick up or drop off your child, you can share that QR code with them.
- Bag or backpack - big enough to hold all of the items listed below.
- Appropriate athletic clothing and shoes for both indoor and outdoor activities. Please take note of the weather for the day.
- Outdoor Camps - Soccer, Football, Track & Field/Run, Jump, Throw participants need to have indoor shoes.
- Water bottle(s)
- Sunscreen
- Bug spray
- Nut-free lunch and snacks for AM & PM breaks
- Emergency supplies like inhalers, EpiPens, etc. PLEASE notify our staff and coaches where these are located so they can help find the item if necessary.
- Please label everything you are bringing to camp with your child’s name.

Illness Policies
If your child becomes ill while at camp, you will be notified as soon as possible. We do not have a registered nurse on staff. We may ask you to remove your child from the program for the day.
Daily Wellness Screening: Children must not attend camp if they are sick. Children need to be screened by parents each day before attending camp. To keep everyone at camp safe and healthy, please do not send your child to camp if they are exhibiting any symptoms.

Weather
All Green & Gold Sport Camps take place outdoors either exclusively or periodically and may be affected by weather conditions. Camp participants should be prepared to play in all weather conditions, particularly for camps that are based outdoors (Soccer, Football, Track & Field). Camps will be moved indoors at the discretion of our staff when necessary to manage the risk of extreme weather and every effort will be made to provide a fun camp experience during these instances. Drop off and pick up will take place at the stated location except in cases of extreme weather.
Location Change Process
When a location change has been deemed necessary by camp administrative staff, parents will be contacted via email with the location change and further details.
Extreme Heat Policy
High temperatures can impact outdoor based camps (track and field, soccer, flag football, flag rugby) and mitigating efforts will be enacted during periods of extreme heat to protect the health and safety of camp participants. When outdoor temperatures register between 30-39 degrees celsius according to Environment Canada (https://weather.gc.ca/city/pages/ab-50_metric_e.html), outdoor camp participants will be monitored closely by camp staff. Camp activities will be modified to limit exertion levels and more frequent breaks will be provided. Camps will also be brought indoors at more frequent intervals to allow participants to cool down. When outdoor temperatures reach 40 degrees celsius and above, camp activities will be brought indoors. If adequate indoor space is not available to provide a comparable experience for participants, the camp may be cancelled and pro-rated refunds will be issued.
Air Quality Policy
Once air quality risk reaches level 7 on the Government of Canada Air Quality Health Index ( https://weather.gc.ca/airquality/pages/index_e.html), all activities will be moved indoors and programming will be adjusted accordingly. Coaches will use their discretion at levels 4-6 as to whether or not activities should be moved indoors.
