Community Guidelines

In order to create a safe, inclusive and supportive community, all participants, including staff, volunteers and campers, commit to the following Community Guidelines. (Each location may choose a version that has been adapted for their Camp, which will be communicated to everyone before Camp begins.): 

Privacy/Confidentiality

To support open participation, mutual respect, and to protect participants: 

  • All participants commit to maintaining the privacy and confidentiality of participants' identifying information and discussion content; 
  • Any personal information shared will remain with participants. Take care when sharing your personal information (including social media profiles). 
  • Participants agree to sharing their chosen first name and last initial as it appears on their registration form. Please update a staff member if your chosen name has changed. 

Safer Spaces / Inclusivity

To create a space where people feel safe, welcome, and encouraged to contribute:

  • Participants will respect diversity and refrain from discrimination on the basis of race, religious beliefs, colour, gender, gender identity, gender expression, physical disability, neurodiversity, ancestry, place of origin, marital status, source of income, family status or sexual orientation. Harmful language or behaviour will not be tolerated.
  • Consider a culture of respect, accountability and care when challenging an opinion or viewpoint you consider problematic, offensive or hurtful.
  • Harassment or bullying will result in immediate removal from the session or workshop, with possible removal from Camp.
  • If someone says or does something to make you uncomfortable, ask them to stop. If they don’t, let a group leader or staff member know.
  • The focus at Camp fYrefly is on building friendship and community. While we recognize that people may form close connections, we ask all participants, including volunteers, to set aside dating and romantic relationships until after Camp.

Health, Safety, Wellness, and Parent/Guardian Consent

  • We take responsibility for our own health and wellness, which includes adequate sleep (if overnight) and nourishment.
  • No food containing peanuts are permitted on the premises.
  • Participants will wear proper indoor and outdoor footwear and clothing.
  • Youth under the age of 18 require parental or guardian consent to participate in Camp .
  • All participants must submit emergency contact information;
  • Campers will stay on the Camp grounds throughout the course of the 4-days (or during the daytime schedule, if at Day Camp), except in emergency and/or special circumstances.

At Camp

  • The opportunity to attend Camp and take part in the community is for many, a once in a lifetime opportunity. We stay present and participate in our community by leaving our phones off or put away during the day. As we recognize access to a phone is important for many of our participants, there will be designated times to use your phone, including in cabin spaces during evening and mornings. Or, in the case of Day Camp, each small group will create agreements together about phone use. 
  • If participants choose to smoke at Camp, they are asked to only smoke in the designated smoking area during slotted times.
  • Campers will be in the building by 11PM (applicable for overnight Camp).
  • Respect the facility equipment and property; we will clean up after ourselves after meals and activities and eat food only in the designated areas.
  • Camp is a sober environment that is drug and alcohol free. If anyone has questions or needs support with this, they are encouraged to speak with the Health Team or the Camp Coordinator.

  • Unless otherwise stated in advance, online sessions and workshops are only open to Camp fYrefly staff, volunteers and campers. Do not share links or passwords to Camp sessions;
  • Participants will be notified if sessions are recorded and how those recordings will be used or shared. Attendees will be able to opt-in or out of all recordings, including voice or video; 
  • Participants are not required to share their video; 
  • Only workshop facilitators are permitted to record session or workshop content;
  • All participants commit to maintaining the privacy and confidentiality of participants’ identifying information and discussion content;
  • Any personal information shared into a forum should remain with participants. We want to support one another’s privacy and confidentiality; take care when sharing your personal information (including social media profiles).
  • Participants agree to begin each session using (or providing) their chosen first name and last initial as it appears on their registration form until attendance has been taken by the facilitator. Reach out to us if your chosen name has changed.

  • Be careful with humour. Consider adding “jk” or “lol” to be clear that your comment is meant to be funny;
  • What happens online is the same as interacting in person. Make sure your comments are something you’d be comfortable to share in person;
  • If someone says or does something to make you uncomfortable, ask them to stop. If they don’t, let your facilitator know by private message.

In consideration of the safety of all participants:

  • All participants must submit emergency contact information;
  • Communicate about your surroundings if it may inhibit your ability to participate; 
  • To help us capture ideas and contributions, as well as follow up on any issues, a record of all chats is kept and archived.
