Shared Services winter closure impacts

Including the Staff Service Centre & Distribution Services

Shared Services (HR/Finance/Service Innovation teams, the Staff Service Centre, IST Help Desk and Distribution Services) is closing for the winter holiday. Services will be unavailable from Dec. 23, 2022 at 4:30 p.m. to Jan. 3, 2023 at 8:30 a.m.

Unresolved requests as of December 23 and requests submitted over the break will be reviewed in order of receipt when services resume in the new year.

Here are some key reminders and deadlines as you prepare for winter closure:

Staff Service Centre:

  • The Staff Service Portal will remain open however will not be monitored during the winter closure. 

Distribution Services:

  • Avoid ordering perishables for the week preceding closure. 
  • Emergency service for cryogens is routed to Linde (formerly Praxair).
  • Book your fills for the first week of January.

Pay:

  • Administering Support Staff Pay during Winter Closure: Refer to the Winter Closure and Winter Closure Effect on Pay reference guides for instructions on how Support Staff pay is administered during winter closure. 
  • No Payroll Activities during closure: Payroll requests and actions still open as of December 23rd or submitted during the winter closure will be reviewed in order of receipt when we reopen in the new year.

Receivables:

  • Accounts Receivables: 
    • Aim to process all AR invoices by Friday December 23rd for the current month. 
    • AR statements will be issued at the end of the first working week in 2023.

Wednesday

Accounts Payable

  •  Final AP cheque and EFT payments for the year
    • All invoices entered, approved and due by January 4, 2023 will be issued on December 21.
    • All travel/expense and PER claims approved by December 20, paid on December 21.

Cashier

  • Noon
    • Deadline to schedule SMS pickup and delivery to the Cashier Office 
    • Deadline for Petty Cash requests (via FreshService).
Thursday
December 22nd

Distribution Services

  • Deadline for booking Liquid nitrogen deliveries. 
    • December 23 is only available for call-ins for emergency fills only.
Friday
December 23rd

Cashier:

  • Noon: Deadline to submit a deposit to ensure all revenue is processed prior to the closure.

Payroll 

  • Semi Monthly eForm/PAF Deadline.
